You have the option to have part of your salary paid into an overseas bank account in one of the following currencies: US$, Canadian$ or Australian$. The School will convert faculty's allocated amount into the US/Canadian/Australian dollars based on the spot rate. You can choose to have 25%, 50%, 75% or 100% of your monthly payment to be deposited to your overseas bank at your selected currency. You can also choose not to do this at all. Please plan and think ahead carefully as your choice will be set for the entire school year. Selected foreign currency amount will be wired to faculty's designated overseas banks on a monthly basis. The School will pay the transaction fee charged by the Bank of China up to once a month. Faculty will be responsible for the transaction fee charged by the receiving bank. School-provided Housing Newly hired overseas faculty members will be provided with School-leased housing, containing basic appliances and furniture for the first 12 months. Upon the completion of the first year of the contract, faculty members may choose to opt out of this apartment, lease other housing by themselves and receive an applicable housing allowance. The teacher shall notify the school by Feb 28th if he/she decides to stay with the School-leased housing or move out. School-provided apartments are generally comprised of a living and dining area with a small kitchen. There tends to be limited storage space, but the apartments are furnished with basic furniture and appliances. School Provided Housing premises guideline, agreement and pet agreement The apartment’s security deposit is RMB10,000. School has paid on behalf of Faculty members and will deduct this money from the paycheck across 3 months in Aug, Sept, and October. Each monthly deduction amounts to RMB3,333. Please note the security deposit will be refunded to Faculty members (without interest) when they leave their accommodation. Faculty members will also be responsible for utility payments including gas, electricity, and water, averaging RMB300-500 for single and RMB800 -1000 for couple/family a month, depending on personal use. The apartment is equipped with a basic internet package of 100MB speed that does not include a VPN. Faculty members are responsible for the costs of upgrading internet and adding VPN services. Housing Allowance and Official Tax Receipts Upon the completion of the first year of the contract, if Faculty member choose to opt out of School-provided housing, he/she will be provided a monthly housing allowance as follows: Single: RMB10,780/month Couple/single parent: RMB14,300/month Additional housing supplement of RMB500/month applies to dependent children living in Guangzhou with their parent(s), up to the age of 18 or until they graduate from high school, at which time the supplement ends. The rental contract is signed between Faculty members and the landlord. Monthly, they are responsible for paying the rent directly to the landlord and obtaining the official receipt (fapiao) from the landlord and forwarding it to the HR Office on/before 15th. If the rental amount is less than or equal to the maximum housing allowance, School will reimburse them the actual amount and the balance of the housing allowance will be rolled into their salary and be taxed. In cases in which the rental amount is higher than the maximum housing allowance, School will reimburse them up to the housing allowance. Faculty members also need to pay other costs associated with the apartments such as utilities and the initial deposit and arrange for the deposit to be returned when he/she vacates the apartment, minus any damage or outstanding bills. Most Faculty members are able to find apartments with rental costs the same as or below the Housing Allowance amounts. Factors affecting rental prices include the size of the apartment, the condition of the furniture and fittings, and the floor (higher floors in high-rise buildings generally cost more) and the location in the city. Apartments in Guangzhou Many apartments in Guangzhou are part of multi-building apartment complexes with leisure facilities like pools, gyms, and tennis courts. Broadband Internet access is readily available and English-language television channels may be obtained through private Satellite TV services (with access to stations like CNN or ESPN). Most apartments average in size from 100-180 square meters. Apartments are generally comprised of a living and dining area, a small kitchen, and either three bedrooms and two bathrooms for couples or two bedrooms and one bathroom for singles. There tends to be limited storage space, but most apartments are furnished with basic items such as a queen size bed in the master bedroom, a single bed in other bedrooms, a couch and two living room chairs, a dining table and chairs, a television, washing machine and air conditioning units (some of which double as heaters). Additional furniture and appliances (e.g., dryers) can be requested from the landlord or purchased locally. Many teachers choose to buy a few Chinese style furniture pieces from various markets or practical pieces, like bookshelves, from IKEA, once they arrive. We suggest you bring in limited amounts and have a prescription or medical certificate when bringing any prescription medication, controlled medication, stimulants, etc. to China. Please note that some medicines are difficult to obtain in China and it would be prudent to carry an adequate supply for your entire stay. You can also visit the National Medical Products Administration ’s website for additional information regarding drug laws and regulations in China. It has been the experience of many expat citizens that mailing prescription medication can be tricky, even with the proper documentation. The Chinese government has a strict, extensive list of laws and regulations regarding the import of drugs. Certain procedures must be followed in order for drugs to be sent to China. A list must be made of each medication, ideally with the name of the drug in Chinese as well. If any prescription drug is omitted or improperly documented, the medication will be confiscated. Unfortunately, even if the proper procedure has been followed, sometimes customs will still refuse to release these medications with no clear reason. Answer: If the condition requires immediate medical advisory, you can call EurAm Clinic’s emergency number at 13710413347. If a hospital visit is needed, please take the child to a recommended hospital by car – 1) Graceland Medical Center; 2) United Family Hospital. Please bring the child’s insurance card, passport and money. Taxi cards with hospital coordinates in Chinese are provided in the section about medical provider details. Question: How does the deductible and co-insurance work when I seek treatment? (including notice about invoice, etc.) Answer: If you visit a provider within the direct settlement network of the insurer, you will be required to pay Deductible/Coinsurance before you leave. Please ask for Fapiao (in Mainland China) /Receipt with the amount you have paid. Providers within the network will settle the invoice with the insurance company directly. Please expect a delay until your paid deductible reflects in the insurance company’s system. If you visit a non-Direct Billing provider, you will pay full amount of the bill. Please get Fapiao/Receipt, Diagnosis, Itemized Bill to submit a claim through MSH SERVICE APP or MSH WeChat OFFICIAL account . Question: What should I do if I need to bring medicines to China? Answer: It is not suggested to bring medicines to China due to unclear custom policies. Member can check with MSH service team whether the medicine is available in China or if there are any substitution medicines in China. Specific Medical Condition Questions Question: What should I do if I accidentally break a limb? Answer: Please go to a clinic or hospital nearby (see recommended providers section) and get appropriate treatment in time – the health providers will likely take X-rays and may apply a cast or splint to fix your arm’s position (doctor’s advice shall prevail). If a surgery is required to reset the bone or realign broken pieces, you need to go through the pre-authorization procedure (see page 15 for details). Question: What should I do if I had a heart attack? Answer: Call the local emergency number 120 immediately to get an ambulance to take you to the hospitals. If you have difficulties communicating with the 120, please call the MSH 24/7 hotline (page 44). Question: If I seek outpatient treatment with Tradition Chinese Medicine (TCM), can I use my medical insurance? Answer: TCM is covered under the Alternative Medicine. With the benefit enhancement in 2019, the annual limit will be combined with Therapeutic Services – being CNY 32,500 (USD 500) per year. If the expense is within this limit, a regular outpatient process will apply. If the expense exceeds the limit, you will need to pay the excessive amount. Question: What should I do if I am going to have a colonoscopy? Answer: When you schedule the procedure, you’ll get instructions from the doctor. Please follow the instructions. There may be some diet or fluid restrictions before you have a colonoscopy, but this will vary according to your doctor's instructions. You may be asked to limit or eliminate solid foods for a few days before the test. You may also be asked to take laxatives by mouth. You will need to let the doctor know about any special medical conditions you have (pregnancy, lung condition, heart condition, allergies to any medicines etc.). If the doctor ask to you stay at the hospital the night before the procedure, the medical expense will be covered under the inpatient benefit. Otherwise you can go to the hospital on the day of the procedure. After your colonoscopy, you will remain in a recovery room for observation, usually for 30 minutes to 1 hour. In other circumstances you may need to stay longer according to your health condition. As long as you do not stay overnight, the expense will be covered under outpatient benefit. New Faculty Work Permit and Visa Applications The Guangzhou government has stringent requirements for our employees and families to live and work in Guangzhou. As the process to meet these requirements can be cumbersome, the school will handle most of this process for you. Below please find the overview of the process of getting an Employment Visa (Z Visa), Work Permit and Residency Visa in China. Step 1 - Before Your Arrival in China As your contracts are signed, you should have heard from HR, completed the forms and submitted them back by the deadline below. If you have not, please do so immediately. HR will need to obtain the following documents for applying for an Employment Visa (Z Visa) and dependent Visa for you and your family members. Step 2- Employment Visa (Z Visa) Application Once HR obtained approval of the Work Permit Notification Letter, we will email you a PDF with all the approved documents. The next step is to fill out the Chinese Working Visa Application Form online, print it and take to the Chinese Embassy /Consultant where you declared and applying for Z visa. When your Z visa is ready for pick up, you are ready to come to China! Upon Arrival in Guangzhou within 30 days Employment Visa (Z visa) is single entry and valid for 30 days, which enables your entry into China. Upon arrival in China, you will be assisted with obtaining your official Work Certificate and Resident Permit (the final step of the process) Step 3 – Temporary Registration and Medical Verification Within 24 hours of arrival, HR will assist you to do the Temporary Police Registration. Also, HR will schedule a time with you to do the medical check and verification at the designated Healthcare Center. Step 4 – Work Certificate and Resident Permit For obtaining Resident Permit, you must appear in person at local PSB (Public Security Bureau) in Guangzhou and PSB will keep your original passport during this process period. This means that you are not allowed to leave Guangzhou until you receive the Residency Permit, which is likely to be ready around the first week of September. Once you have obtained a Residency Visa on your passport, you can rest assured that you are an official resident in China! You are legally able to work in China with your visa, and you are free to travel around and outside of the country. Q&A for Authentication & Visa Process I’m working overseas, can I authenticate my U.S. degree in my working country? No. Degree authentication can be done only in the country where the document was issued. Can I ask my family or friend to help me process the authentication? Yes, you can ask family members or friends in your home country to help you with the process if you are working overseas.For the degree authentication process, you may ask for help from your university for the notarization or contact a third-party agent such as CVSC or Teaching Nomad. I’m currently living abroad. Should I get a background check in the working country or from my home country? If you’ve resided in the working country for at least one full year you can provide the background check report issued by your working country. I checked the AISG Authentication guidelines, it seems the local process with the Consulate Office or Consulate Embassy looks different than the guidelines shown, will it be a problem? Our guide provides general information for your reference only.The authentication process may be different depending on countries. You should follow the procedure in accordance with the Chinese Consulate/Embassy office in your home country. I’m wondering if I can send my documents to the Chinese Consulate to do the final legalization. No. Mailed in applications are no longer allowed. You must apply in person or through the third-party agency. Do I need to get an FBI background check? It is not necessary. Either local or State Level check would be fine. I have received the authenticated documents from Chinese Embassy/ Chinese Consulate office. When I make the copy of the document, can I remove the staple? No, the staple can’t be removed once it’s notarized and authenticated.The Chinese Consulate will consider it invalid if they find empty staple holes. How long will it take to process a Z visa? For regular service, it will take 4 working days. For exact information please refer to the Official Website of the Chinese Consulate where you have chosen to apply. When can I start to apply for my Employment Visa (Z visa)? You are not able to apply for the Employment Visa until you have obtained a Work Permit Notification Letter from HR. After we have obtained authenticated documents along with all the required documents in March, we will apply for the Work Permit Notification for you in Guangzhou. The whole processing timeline should take 6-8 weeks. We expect the Work Permit Notification Letter will be ready on/before Mid-May. Will HR be applying for an Employment Visa (Z visa) for me? Or would I have to apply for myself at the Chinese Consulate? HR isn’t allowed to apply for an employment visa (Z visa) on your behalf, you will need to make this arrangement on your own. Can I submit the application for both myself and my spouse at the same time? Or does my Z visa need to be approved before applying for an accompanying dependent’s visa? You can submit the applications at the same time. Airline Transport Information In April we will begin booking your air transport to Guangzhou. Please complete the Airline Data Form below no later than May 22. Once we have this information, we can proceed with booking your travel to Guangzhou. Airline Data Form Admission & Enrollment of Employee Children Those of you with students who will enroll at AISG will be hearing directly from our Admissions department if you have not heard from them already. They will work with you to ensure your student is placed at AISG for 2024-25. Our Admissions Office is looking forward to working with you and your children. AISG Card At AISG, all employees wear a photo ID badge while on site. In order to have these cards ready upon your arrival in Guangzhou in July, we are asking that you send us a head-shot photo now so that we may begin processing your AISG Card . Photos can be digitally submitted but should be of good resolution and preferably JPEG formatted. The photo needs to be a direct shot of your face in the style of a driver's license photo. Please submit a photo where you are looking straight ahead to the camera lens. It needs to show your face and features clearly. Hair cannot be obstructing the view of your eyes; no hats can be worn, please take eyeglasses off, and please no "artistic" touches (posed hands under your chin, etc.). You must have a white background behind you. You'll see this card every day, so be sure it is a photo that you like. Please contact Francess Hu to provide the photo required for your AISG Card. Helping AISG Get to Know You Each year, we create a presentation slide deck of our new AISG staff so that current staff can get to know their new colleagues. We share your photo and some information so that your future colleagues begin putting a face and some context with your name. If you would prefer that we do NOT use the photo you sent us for your ID card, feel free to send us a different photo to put into this presentation. To help us facilitate this introduction, we're also asking you to respond to a few questions. Some questions are more serious, and some are less serious. Have some fun, and we look forward to your responses! Answer a Few Simple Questions Here Staff and Laptop Agreement AISG has a wealth of technology resources available to all employees. Any staff member who has a laptop and/tablet issued to them will complete a digital Staff Laptop Agreement via SignEasy. For new faculty, IT will place the laptop/tablet in your apartment during the new faculty housing set-up process. Then, during the days of new faculty orientation, the Director of Innovation & Technology and the staff will help new faculty complete the online Staff Laptop Agreement. Marketplace / GZ Living Microsoft Team AISG has a fantastic resource available to all staff where you can get a ton of helpful information as well as picking up some of those necessary items that you might be searching for as you settle in. One important source of information is the 'GZ Living' Microsoft Team. This collaborative space includes a Second Hand Market where faculty sell used items, along with information on health & fitness, restaurants and related categories. In late March, new faculty receives their school email credentials and instructions from IT regarding how to log in and change their password. The also get an initial introduction to Microsoft Teams, the school's collaboration and productivity platform. New faculty are automatically added to the GZ Living Team so that they can begin learning more about Guangzhou life and ask questions to our faculty. You might wonder what kind of clothes to bring to Guangzhou. Or how much a part or full-time ayi (helper) costs, etc. New faculty should feel free to post messages in GZ Living. In planning your shipping, please note that in your first year at AISG you are in school-provided, furnished accommodation. Please consider this when deciding what to ship. For example, you may not need to ship a bed as there is already one provided for you in your new apartment. Import duties may be charged on your shipping items, however, please note that the shipping allowance cannot be used to cover these duties. Deadlines for packing and Shipping Most shippers are very busy during the months from April to September, so you will need to coordinate closely with the shipping agent to ensure timely shipment and arrival in Guangzhou. Since most sea shipments require coordination between multiple shipping agents in more than one country, you should allow approximately 6 to 8 weeks from the pick-up date to arrival in Guangzhou plus additional time will be needed for customs clearance and delivery. Due to Chinese regulations, please expect your shipment to arrive in China at the beginning of October at the earliest. As such you should plan to bring with you the things you will need until this time. Otherwise you will need to purchase these goods yourself after you arrive. Insurance on Shipment When you ship, ensure that you have a copy of the detailed listing of items shipped, including estimated values, for insurance purposes both during the shipment and for obtaining renter’s insurance upon arrival in Guangzhou if you choose to purchase this insurance. Remember to use the replacement valuation instead of actual valuation when making this list. Be VERY detailed and provide an item by item inventory as much as possible. Provide a copy of your inventory list to the packers and insist that the packers provide adequate time for you to review their packing list. These documents will be used by the local shipper to verify contents of the shipment in the event of a claim. Don’t let them rush your review. We strongly recommend that you prepare your own inventory list using Word or Excel and share this document with the shipper as well. Another great idea is to use your smartphone, camera, and/or video camera to photograph and document all shipment items and provide digital copies of these images to your shipping agent to substantiate your claim in the event of loss or damage. Comparing Agent's Proposals You should request that the shipping agent provide you with an estimated written proposal for your shipment and compare this to your AISG shipping allowance amount to ensure that you stay within the AISG allowance. Any excess shipping cost will be borne by the faculty member. Packing Your Luggage for the First Few Weeks in Guangzhou When you arrive in Guangzhou, you will be met at the airport, brought to your apartment, containing appliances, utensils, bedding, towels, and furniture. All utensils, bedding and towels are brand new. The school also provides a welcome basket containing some foods etc. to help you through your beginning days in Guangzhou. As your shipment may not arrive for several months, you should pack sufficient clothing and other items you may need until your shipment arrives. Suggestions for what you might want to consider including in your luggage: 4G phone– as a carry-on. It’s important to have a 4G phone ready before coming to China as you will need a phone and SIM card for opening a local bank account, WeChat account and set up other mobile payments upon arrival. work attire and shoes for orientation meetings and socials smart casual clothing for the cocktail party at the hotel swimsuits, shorts, t-shirts, and cool casual clothes to last several weeks children's toys and books (for families with children) anything else you can't live without for three months. prescription medication with a letter from your doctor that you are taking this medication over-the-counter drugs you are accustomed to using, such as Advil, Motrin, Ibuprofen, Tylenol, Nyquil, Dayquil, etc. Over-the-counter medication is not as readily available in Guangzhou for children or adults. Teaching materials, books, and files you will need the first three months of school. Suggestions for Shipment Items All types and most brands of toiletries, recreational items, beds, bedding, and linens, clothing, shoes, sports equipment, etc., are available in Guangzhou. However, if you have specific or favorite brands that are important to you, please consider including it in your shipment as certain brands can be limited or not available. For example, cotton swabs are readily available at all supermarkets and pharmacies but if the “Q-Tip” brand is your preference, then include it in your shipment. Please take into consideration that Asian-sized beds, bedding, and linens are shorter and that extra large-sized clothing are not easily available. Dress for school is casual but professional while lightweight clothing. Jeans, shorts, polo shirts, tennis shoes, sandals, etc. are not school-appropriate attire. The temperature in most indoor environments, including classrooms, theaters, and restaurants, are air-conditioned and can be cold, so sweaters and light jackets are sometimes needed depending upon the individual. In addition, extra-large shoe sizes, and narrow and wide sizes are hard to find in Guangzhou. Guangzhou uses 220V and 50Hz AC electricity. Electricity supply is usually 220 volts. The local sockets usually have two parallel pins or 3 flat pins. Dual voltage electronic devices (110/240 voltage) with built-in 50/60 Watt capacity converter or transformer can be used with a plug adapter in Guangzhou. Shipping Pets Government regulations can change at any time. The school highly recommends you contact the specialized pet relocation company below to manage your pet coming to Guangzhou. The pet relocation company will help liaise with a travel agent to arrange your flight, verify all required documents, and assist the customs clearance upon arrivals as this will make the trip and the whole process much less stressful. Dogs must be registered with the local police in your place of residence within 30 days of arrival into China. General Housing In March we will be providing you with your new address at either Clifford Mansion or Poly Grand Mansions in Guangzhou. Apartments are generally comprised of a living and dining area with a small kitchen. There tends to be limited storage space, but the apartments are furnished with basic furniture and appliances. School Provided Housing premises guideline, agreement and pet agreement Your apartment’s security deposit is RMB10,000. The school has paid on your behalf and will deduct this money from your paycheck across 3 months in Aug, Sept, and October. Each monthly deduction amounts to RMB3,333. Please note the security deposit will be refunded to you (without interest) when you finally leave this accommodation. You will also be responsible for utility payments including gas, electricity, and water, averaging about RMB300-500 for single and RMB800 -1000 for couple/family a month, depending on personal use. Faculty Hosts To help new faculty adjust to life in Guangzhou and working at AISG, there are two faculty hosts who help create community during the onboarding period. Part of our duties as Faculty Hosts at AISG is to help you get acclimated to Guangzhou and AISG through the Orientation process. Our goal is to make the process as seamless and pain-free for you and your families as possible! The first few days in Guangzhou can be exciting but also over stimulating. Fear not. We will be with you every step of the way and have one job during the first week – to take good care of you and make sure your transition is a smooth one! We remember well our own whirlwind transition – Cat moved from Canada to Guangzhou in 2014. John moved from Australia to Korea in 2000, followed by Egypt, and then Guangzhou in 2018. We’ve tried hard to schedule meaningful outings and events during orientation but remain sensitive to the fact that you’ll need time on your own to get things done. A lot of your meals will be taken care of throughout your first week. When that’s not the case, we will be organizing optional trips to restaurants. Throughout the entire process we encourage you to share with us whatever you might need. No question is too obscure or unusual for us- we will find you the answer or the person who will know! Foreigners over the age of 14 years who enter China are required to provide their fingerprints as part of the entry process. Upon your arrival, you will see a Foreigner Fingerprint Collection Area where you will see machines to submit your fingerprints. These machines give you a ticket that you will then take to the immigration counter. You will then proceed to the baggage claim and collect your luggage. Once you have your luggage, look to the exit area where you will see AISG representatives with a sign, waiting to help you get to the apartment. Newly recruited faculty will arrive in Guangzhou on Sunday, July 21, 2024 . This will allow faculty to set up an apartment and complete a variety of tasks before school begins. AISG also conducts a multi-day orientation program about the school and the city (including optional household shopping trips and social events), followed by a general orientation program involving the returning faculty. At the beginning of June, we will send you a detailed Orientation Schedule for your first two weeks in Guangzhou. In order for the school to organize appropriate transportation for your airport pick-up on your arrival, please contact Jessica Chen at jchen@aisgz.org to confirm your luggage size and quantity. Establishing a Bank Account in Guangzhou For processing payroll, faculty members need to have an RMB account at the Bank of China (BOC) in Guangzhou. Upon arrival, HR will go with you to the Bank of China to open a bank account, ATM card and set up and/or change a password. China Banking regulations do not allow joint accounts. Bank of China branches are open six days a week, from 09:00 to 17:00. Bank of China has ATMs throughout the city, including Er Sha Island, with the option of English instructions. Bank of China cards can also be used at the ATMs of most other Chinese banks for a small fee and can be used as a debit card at a growing number of shops and restaurants in Guangzhou. For opening a Bank of China Bank account, faculty are required to provide additional information and complete this form to HR by June 15. Getting a Mobile Phone in Guangzhou There are three mobile phone providers in China: China Telecom, China Unicom and China Mobile. The school recommends our faculty use China Telecom with the following plan as their package is more competitive than others. Prepay RMB200 and get a SIM Card, 80G mobile data per month all over China, except Hong Kong and Macau. Flat Fee: RMB100/month The school organizes for China Telecom to attend the first day of Orientation to assist new faculty to buy a sim card and set up their mobile phone account. Establishing WeChat in Guangzhou WeChat is China’s most popular messaging application and its capabilities have evolved beyond its chat and voice call functions to include shopping services and even mobile payments for food, taxi, movie tickets, etc. It’s easy to set up a WeChat account before you come to China - you need to download the WeChat app from the app store (iTunes, Google Play, etc.) and create an account using your phone number. Once you have your WeChat set up, you are ready to start life in China! Household Help The availability and affordability of domestic help is one of the wonderful things about life in Guangzhou! Month by Month Reminders Departing Faculty What You Need to Know When Leaving AISG As you prepare to leave AISG and Guangzhou, this guide has been developed to help address the main organizational aspects of your departure. Should you have any further questions, please do not hesitate to take up contact with the Human Resources Department. Your tax residency status might change in 2021. Within a calendar year, an individual residing in China for 183 days or more, is considered as “tax resident”; if less than 183 days is considered as “non-tax resident”. Contact HR if you have any question about Chinese Tax residency. Upon completion of a full contract, the School will reimburse one-way economy ticket for the Faculty member, their spouse/partner and/or eligible dependents from Guangzhou to Home of Record, the exact allowance will be advised from HR by March 31. Faculty HAS two options: You may make the appropriate travel arrangements for departure with your preferred travel agent, AISG is not involved in making these arrangements. Please forward the invoice/fapiao to HR for reimbursement by May 10 . HR will reimburse up to the benefit value provided, this reimbursement is not subject to income tax in China if the final destination of your travel is to your home of record. You may take the benefit as salary payment, this is subject to income tax in China. The net amount will be paid to your BOC bank account with the May paycheck. Please inform HR by May 10 if you want to take this benefit paid as salary. Faculty's Residency Visa is valid until June 30, and the work permit automatically cancels on June 30. You may travel in and out of China until this date. Shipping Allowance Single teacher - RMB22,050 Teaching Couple/Family - RMB37,800 An additional RMB10,000 departing allowance is given to those faculty who are 60 years of age, who have 10 or more years of continuous service to the school, and who are retiring. In March, upon request, the School will arrange for two/three relocation companies to go to a faculty members apartment to do a survey and provide quotes for an outbound shipment based on door-to-door sea shipment to your HoR or new place of employment. Payment will be made directly by the school to the local shipper. Any shipping costs in excess of your shipping allowance will be borne by the faculty member. Homeland Security Each year, a few AISG faculty members have had their shipment chosen by US Customs or similar examinations in other countries for detailed inspection. This has resulted in an inspection fee and a storage fee. These fees cannot be predicted or estimated in advance, so they are NOT included in the shipping allowance provided by AISG through the shipping agent. Please note: If your shipment is selected by customs for inspection, you can make payment for this additional customs clearance amount, then contact HR at AISG and provide supporting documents for reimbursement of this expense. Shipping Pets You may use all or part of your outbound shipping allowance to cover the cost of shipping pets. If you are bringing home a pet, please proceed to make all arrangements with a pet shipper or directly with the airline. Please inform the school of the arrangements you have made as the school will pay them directly. The lease will end on June 30. AISG is the tenant on all leases but faculty as occupants are responsible for the condition of the leased property and its contents at the time the premises are handed back to the landlord. The school has retained a security deposit of RMB10,000 which will be refunded following inspection of the apartment. To obtain the refund: 1) Confirm the move out date with HR; 2) HR will schedule a pre-checkout inspection with the landlord; 3) Settle all utility costs with the landlord before check-out; 4) Final Inspection of the property is on the last day before faculty member moves out; if there is any damage or cleaning charges, they will come out of the security deposit; 5) The security deposit will be refunded in RMB in cash. Shipment release pass 1) Inform HR and your landlord of your shipment move-out date; 2) Get the release pass from the premise management office. Please note that without the release pass, the landlord's management will not allow the moving out of any belongings from the premises. Departing faculty will receive a housing allowance for the month of June in your year of departure. Unless otherwise requested, this allowance will be paid with your June Salary into your overseas bank account. Most faculty leave Guangzhou shortly after the end of second semester. All aspects of vacating the property, obtaining the rental deposit back and organizing shipping from the apartment are the responsibility of the faculty member. As such it is advised that the faculty member takes up contact with the landlord and agent in March of the year of departure to organize a smooth vacation of the property. As you conclude your contract in China, aim to keep a minimum amount of RMB in BOC for your remaining daily expenses in Guangzhou. You may choose to have your May and June salary deposited 100% to your overseas bank account. If you want to make any change for salary allocation, please contact HR. This is not mandatory. If you wish to close your BOC bank account, you will need your original passport and you have to go to the bank in person. At the following address: Bank of China Guangdong Jingmao Dasha Sub-branch ( 中国银行广州市广东经贸大厦支行 ) No.351, Tianhe Road, Tianhe District, Guangzhou ( 天河路 351 号 ) Please ensure that you do not close your BOC bank account too early because part of your final June paycheck may be deposited into this account on the last school day. As you may know you can also withdraw funds from you BOC account from overseas once you return home. For departing faculty, the school will stop your social insurance contributions, close your social insurance account and request a refund of accumulated pension and medical funds in January. Normally it takes 3-5 months to get the pension and medical funds from Social Insurances Bureau. Timelines and Process 2nd week of February –The school will inform social insurance bureau to stop your social insurance coverage, close your account and request to refund accumulated pension and medical funds. 4th week of February – HR will send out a separate spreadsheet to you which will show you the accumulated refund amount, including pension and medical funds. Important note : For those faculty who joined AISG prior to SY1516, the school has paid the employee portion SI contribution to the Bureau on your behalf up to June 2016. The refund received by faculty will include this money that the school has paid on your behalf. As such this money has to be refunded to the School after it’s received in your personal bank account. HR will inform you of the amount of this refund. FEB/MARCH/APRIL – Within these months, you will be receiving a notification from the School that the Bureau has approved the refund money. Pension refunds - The money will be deposited to your BOC bank account directly. Please notify HR when you received the money in your bank. Medical funds – You must to bring your original passport and go to a government designated Bank in person to withdraw this money. HR will accompany you to the Bank, this will take about 3 hours to complete the withdrawal of money. HR will coordinate a suitable time for each faculty member. May – If you wish to transfer refund money to an overseas bank account, please contact HR by May 10 at the latest. June – The school will convert SI refund money to foreign currency and wire transfer to your overseas bank account with Jun paycheck. Your current coverage will be effective until June 30. Group Insurance (Life, Long Term Disability) All AISG group insurance, including life and long-term disability, are linked to employment at AISG and terminate on June 30. All group insurance plans are linked to your employment with AISG and cannot be extended beyond employment. Given that these policies cannot be extended, you might want to consider purchasing personal life and/or disability insurance if you expect to have a gap in employment. Departing faculty are able to log into their email throughout the month of June. During this time they are receive instructions for turning on mail forwarding in Outlook. Starting July 1, departing faculty can no longer log in or send mail from their account, but if they turned mail forwarding on, email will continue to forward to the address they entered. On August 31 the account is archived and fowarding ceases. If you have children who are attending AISG, HR will inform the Admissions Office in January that your child(ren) will be withdrawing at the end of the current school year. It is advisable for you to coordinate with the division office(s) to obtain your child(ren)’s official school records and final report card before you leave Guangzhou. What do I do? A. To obtain a replacement passport and exit visa, you must: First, report the passport and visa lost/stolen to the local Entry and Exit Administration of the Public Security Bureau (PSB). You will receive a bilingual police report. In the meantime, please inform HR as well. Next, bring the police report and apply for a replacement passport at the Embassy or Consulate. Update your registration, including your passport number, with the local police station. Finally, take the new passport back to the Exit-Entry Bureau for the new visa. You will need to be in town as your original passport will be submitted to the PSB office for about 7-10 working days. Q: How long will it take to get my new passport? A. Passport processing timelines may vary from country to country. We recommend you check directly with your appropriate Consulate Office to ensure you have accurate information regarding passport processing times. Q. My bank card has been lost/stolen. What should I do? A. Firstly, call the Bank of China Service Hotline (95566) to report the loss of your bank card and request a temporary freeze on the bank card. Next, go to the Bank of China in person with your original passport to request a replacement card. Finally, inform HR of your new bank account and card number to ensure their payroll processing is accurate. Q: Can I withdraw money from ATM overseas with my Bank of China card? A: Yes, you can withdraw money from any ATM Machine outside of China that accepts China Union Pay (look for the Union Pay logo). Please note that a daily limit of RMB10,000 (equivalent USD1,400), and annual limit of RMB100,000 (equivalent to USD14,000) applies to withdrawing money from an ATM with your Bank of China card outside of China. Q: I need to obtain a Proof of Employment Certificate from the school to apply for a travel visa and/or provide proof of income to my home country's bank. Where can I get this? A.
